About the Role


BJSS is looking for an Office Assistant in our Leeds office.


This is an exciting and challenging opportunity for someone who is looking to work in a fast-paced technology consultancy environment. You will be part of an established Operations Team with extensive internal stakeholder engagement.


This is a varied role that will require commitment, enthusiasm, excellent time management skills and someone who can bring an element of fun and energy to the office. The candidate will report to the Office Manager but will also need to be able to work unsupervised.


Whilst no day is the same at BJSS, there are a core set of responsibilities for all Office Assistants that include:


General Duties - Reception duties: phones, receiving deliveries, arranging couriers, opening and distributing mail, franking outgoing mail and arranging any special / recorded mail


Administrative Duties

  • Supplies: Keep a stock take of all stationery and office supplies, updating and ordering more when necessary. This includes regular grocery orders and ensuring the kitchens are well stocked at all times
  • Travel Arrangements: Book taxis, accommodation, train tickets and occasional flights and Visas
  • Diary Management: Manage the meeting room schedule through Outlook
  • Office Environment: Maintain a safe, tidy and efficient environment across all BJSS floors within Whitehall Quay
  • General Housekeeping: Ensure the office and kitchens are tidy and all associated tasks are completed regularly
  • Training: Assist with the organisation of the training programme across the Project Centre. Assist with ordering of food and beverages for the in-house courses and assistance on the day


Accounting Duties

  • Purchase Orders: Raise purchase orders, ensuring sign off by authorised personnel prior to purchasing the goods
  • Invoices: Requesting and chasing invoices for all items paid for on the company credit card


Compliance Duties

  • Visitors: Meet and greet all visitors, arranging and catering when required
  • Record keeping: Ensure relevant record keeping is maintained to a high standard
  • Office Handbook: Updating the handbook when processes change


Events

  • Monthly Staff Socials: Organise and arrange stock for the monthly socials for all permanent members of staff, send out invitations and record attendance
  • Quarterly Town Halls, Summer Strategy Event, Christmas Party: Assist with any arrangements in the run up to and during or after these events
  • Client events: Assist with any arrangements in the run up to and during or after these events


Project Management Support

  • Problem-solving: Identify creative solutions for office regeneration and improvements to help make the office a great place to work
  • Improvement initiatives: Support planning and execution of office improvement initiatives in a timely and cost-effective way
  • Change management: Assist the transition of new processes, office setups or technologies with minimal disruption to daily operations


About You


You will be self-motivated, enthusiastic, and have excellent time management and interpersonal skills. Equally important is the ability to use initiative, be pro-active and to work without supervision. Flexibility around working hours (when required) and commitment are essential.
