Skills for Care has an exciting opportunity to join our Finance, Procurement, Disbursements and Compliance (FPDC) Team based in central Leeds. You will be responsible for the day to day management of Assessed and Supported Year of Employment (ASYE) applications, claims, evidence checking and dealing with customer queries about the ASYE.

The team

The Finance, Procurement, Disbursements and Compliance (FPDC) team forms part of Corporate Resource in Skills for Care. The FPDC team is a flexible, responsive and solution focused team that oversees all financial functions and ensures that all of our procurement and disbursement activities are done in a fair and equitable manner that follows the relevant legislations and good practice whilst also following strict guidelines laid down by our primary funders.

The role

Our Disbursement Assistants are responsible for day to day management of applications, claims, evidence checking, payments and dealing with customer queries in reference to the disbursement of the ASYE funds, and to support the delivery of the wider ASYE programme.

Key Responsibilities

Operational

  • Being the first point of contact for grant holders and answering and dealing with email enquiries.
  • To issue, monitor and maintain the ASYE grants ensuring that all funding is disbursed in line with the funders requirements set out in the primary funding agreement.
  • Input information from grant applications into the relevant systems, resolve any errors or omissions with claimant and escalate if appropriate.
  • Monitor the performance of grant recipients, understand the terms of the grant letter and associated expectations and escalating any performance issues appropriately. Mail merging and emailing Grant letters to recipients ensuring attention to detail and accuracy.
  • Ensure the relevant Project Manager and Disbursement Officer are kept up to date of progress and any issues.
  • Entering payment details onto the bespoke disbursement systems ensuring accuracy of information and raising Goods Received Note and Purchase Order Invoice on the Finance System in order that funds can be disbursed.
  • Payment of all milestones in accordance with the grant terms and conditions

Requirements of the role

The successful applicant will be able to:

  • demonstrate significant experience of working effectively within a team environment

  • show an excellent eye for detail with attention to accuracy and detail whilst being able to work methodically
  • time manage and prioritise their workload, considering that often-competing issues require resolution, achieving deadlines to satisfaction of the Business requirements and the end-customer
  • demonstrate good working knowledge and application of MS Office applications including Excel, Word and Outlook
  • show that they have excellent administration and organisational skills
  • deal with routine enquiries with minimum escalation
  • quickly learn and be knowledgeable on other elements of the Skills for Care offer and be able to advise and signpost appropriately
  • demonstrate effective communication skills at all levels
