We are seeking a motivated and dedicated individual to join our team as an Associate Academic Manager, supporting leadership and oversight for our operations in the facility.


Job Description: The Associate Academic Manager is a key role responsible for supporting the setup and operations of the campus in accordance with Head Office directives. Reporting to the Academic Manager, this position assists with campus functionality, including staff supervision, student welfare, and coordination with facilities management. The role involves direct support to the Academic Coordinator and Campus Coordinator. The Associate Academic Manager helps ensure seamless operations within the academic department and overall campus.



Key Responsibilities:


Academic Management:

  • Support all academic activities on campus, including curriculum delivery, student assessment, and adherence to academic standards.
  • Assist in monitoring the performance of lecturers, ensuring quality teaching and compliance with established academic guidelines.
  • Help guide Academic Coordinators and Programme Leads in managing lecturers and finding suitable candidates for teaching roles.
  • Assist in the induction of new staff according to company policies and procedures, maintaining accurate records.
  • Coordinate with relevant teams to collect course progression reports and assist in compiling bi-weekly and monthly reports on staff and student performance.
  • Support academic leadership in ensuring academic staff and classrooms are fit for purpose and well-equipped for class delivery.


Team Management:

  • Assist in overseeing the Academic Coordinator and Campus Coordinator.
  • Provide guidance, support, and performance feedback to staff, fostering a collaborative work environment.
  • Monitor staff performance and provide reports and feedback to relevant departments.
  • Resolve staff queries and concerns related to academic operations.


Campus Operations:

  • Be an active presence on campus to support staff in day-to-day operations.
  • Assist with campus-related activities such as fire drills, regular health and safety checks, and updating/reporting accidents/incidents.
  • Collaborate with the Academic Manager and the leadership team to ensure effective campus operations.
  • Help ensure the upkeep of the campus, including effective opening and closing, daily inspections, and proactive resolution of issues.
  • Coordinate IT-related issues/activities with respective teams.
  • Ensure departmental staff adhere to rota and schedules.


Student Engagement and Welfare:

  • Play an active role in student engagement activities and events.
  • Serve as a point of contact for customer service, addressing daily challenges, managing emergencies, and upholding student and staff welfare and discipline.


Performance Monitoring and Reporting:

  • Monitor campus performance indicators such as retention rates, progression rates, and academic standards.
  • Assist in formulating monthly reports on campus performance for presentation to the Senior Leadership Team, highlighting achievements and areas for improvement.


Policy Implementation:

  • Implement policies and procedures mandated by the Senior Leadership Team to ensure consistency and compliance across academic operations.
  • Stay updated with regulatory requirements and industry best practices to inform policy decisions.


Examination Management:

  • Ensure timely administration of examinations, marking, and grade reporting in accordance with academic calendars and partner university requirements.
  • Conduct internal examination boards as necessary to assess student performance and maintain academic integrity.



Education and Qualifications:

  • Bachelor’s degree in Education, Business Administration, or related field.
  • Proven experience in educational management, preferably in a similar role.
  • Strong leadership and interpersonal skills, with the ability to inspire and motivate others.
  • Excellent organizational and problem-solving abilities.
  • Sound knowledge of safeguarding policies and procedures.
  • Effective communication skills, both verbal and written.
  • Ability to remain calm and composed during emergencies.
  • Familiarity with relevant regulations and compliance standards in the higher education sector.
  • Commitment to promoting diversity, equity, and inclusion within the campus community.



Experience & Knowledge:

  • Experience in higher education and a minimum of 1 year of operational management experience.
  • Proven experience in academic management and higher education institution (HEI) experience.
  • Ability to prioritize competing deadlines and workloads while maintaining a high level of accuracy.
  • Strong written and verbal communication skills, able to develop and maintain strong and trusting working relationships with colleagues and students.
  • Ability to work on own initiative, demonstrating a positive approach to problem-solving.
  • Demonstrated ability to manage, motivate, and support an academic and operations team, embracing a collaborative working style to achieve results and deliver outstanding student experiences and outcomes.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Strong organizational skills, able to work under pressure to prioritize, delegate, and meet deadlines.
  • Awareness and understanding of higher educational regulatory frameworks and assurance processes.
